Terms of Service

ON BASE provides administrative support, document organization, educational resources, and technology-assisted tools to veterans, dependents, survivors, and healthcare providers related to veteran benefit systems and overseas healthcare coordination. Specific services include records organization, AI-assisted record summaries, benefits education, readiness reports, Foreign Medical Program (FMP) administrative document workflows, provider workflow tools, and secure portal access.

ON BASE is not a law firm, is not affiliated with the Department of Veterans Affairs, does not provide legal advice, does not provide medical opinions, does not represent veterans before the VA, and does not prepare or submit claims on behalf of veterans.

• • We do not take any percentage of your VA back pay, retroactive payments, or future benefits.

All decisions about veteran benefits, service connection, disability ratings, awards, denials, and Foreign Medical Program reimbursements are made solely by the applicable government agency. ON BASE has no authority to influence, predict, or guarantee these decisions.

By purchasing a service, you authorize ON BASE to charge your provided payment method. Payment processing is handled through Stripe, Inc.

• • One-time services are charged in full at signup.
• • Subscription services are billed monthly on the date of initial signup and renew automatically until cancelled.
• • Provider onboarding fees are charged one-time in addition to monthly subscription.
• • All prices are in U.S. dollars.

You may cancel anytime through your account dashboard or by emailing [email protected]. Cancellation takes effect at the end of the current billing period. We do not provide pro-rated refunds for partial months.

Governed by our separate Refund Policy at /legal/refund-policy. Summary: subscriptions cancellable anytime with no partial refunds; one-time platform access fees refundable within 7 days if no substantive work has begun; provider onboarding fees non-refundable once setup begins.

You agree to provide accurate information, upload only documents you have the right to share, attend scheduled appointments and required appointments, communicate timely when we request information, and make all final decisions about any benefit forms, submissions, and government communications. You remain in control of every submission to the VA or any other program.

Your records and personal information are handled per our Privacy Policy (forthcoming). We use commercially reasonable security measures including encryption in transit and at rest, access controls, and secure cloud storage. We do not sell your information.

The ON BASE Provider Network is a directory of providers in administrative service relationships with ON BASE. Inclusion does not constitute endorsement of medical services or quality of care. Veterans are solely responsible for evaluating providers and making healthcare decisions. ON BASE is not liable for medical care provided by network providers.

OUR SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED. We do not warrant our services will result in any particular VA decision, rating, award, reimbursement, or benefit outcome.

To the maximum extent permitted by law, ON BASE shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of our services. Our total liability shall not exceed the amount you paid us in the 12 months preceding the event giving rise to liability.

You agree to indemnify and hold harmless ON BASE from any claims, damages, or expenses arising from your use of our services, violation of these Terms, or violation of third-party rights.

We may suspend or terminate access for violation of these Terms, fraudulent or abusive behavior, or any other reason at our discretion. You remain responsible for fees incurred prior to termination.

We may modify these Terms at any time. Material changes will be communicated via email or website notification.

These Terms are governed by Florida law. Disputes shall be resolved in state or federal courts located in Miami-Dade County, Florida.
